Use these announcements and email ideas to promote My Own Church to your parishioners. We have sets of communications for Introducing My Own Church, Following Up, and Targeted Groups.


Introduce My Own Church
When you introduce My Own Church, you’ll want to make a few announcements about the system to let members know what it is and why they should sign in. Even after implementing the system, it’s a good idea to periodically remind members to update their information. Use these announcement samples as they are, or create your own!

Initial Announcements

These announcements are designed to be used on the first weekend you are ready to implement My Own Church. We suggest making a pulpit announcement and putting a note in your church bulletin or newsletter. If you have established a campaign theme, goal, or incentive program, definitely mention those as well.

Pulpit

We’re really excited about our new online tool that lets you update your family’s records and ministry service preferences on the web! It’s called My Own Church, and it’s available now. Just visit [yourchurchwebsite.org], hit the [description of link/button on your website], and create an account. Once we authorize your account, go ahead and log in to update your phone number, address, and email. Upload photos. If you’re a ministry volunteer, take a look at your schedule and mark any dates when you’re NOT able to serve.1 You can get your giving history report2 – just for your family, of course – any time you like. You can even view our pictorial directory online and look up contact information for other church families. Look for an email reminder with a link later this week. [Your Church Name] now has a new system, called My Own Church, for updating your family information! All you need to do is visit [www.yourchurchwebsite.org], hit the [description of link/button on your website], and create an account. Then, someone in the church office will approve your account, and you’ll be able to update all of your family information, including names, addresses, phone numbers, email addresses. You’ll be able to view the [Your Church Name] pictorial directory. You’ll be able upload your favorite family photo and chose whether you want that photo (or other information) to be visible to other members who’ve logged in—or you can keep some information private and available only to church administrators.

If you’re involved in ministries here at [Your Church Name], the information you put into My Own Church will help us schedule your ministry. You’ll be able to update your preferences and availability and see a calendar of when you’re scheduled for what.1

Please remember to check out My Own Church soon! With your updated information, we’ll be able contact you when we need to so you don’t miss anything important, and you’ll be able to view your own ministry schedule and giving history.2

Initial Email Campaign

This email communication is designed to follow your introduction of My Own Church via your first weekend (or first 2 or 3 weekends) of bulletin and pulpit announcements. If you have established a goal or incentives for your church, mention those as well.   • Online registration! When it’s time to register for religious ed. classes, you’ll be able to fill out and submit the form online.3
  • Online pictorial directory! Get in touch with other church families, and let them get in touch with you. Privacy settings are available, too.

This email is designed to be sent to all members as a follow-up to the initial email and introduction of My Own Church. If there are any benefits specific to your church, we suggest that you add them as well to make the email more applicable.

Follow up with Strong Messaging
Build upon the momentum you have going with up-to-date reminders and progress reports. These communications are designed for use after your initial introduction of My Own Church. Give members an update on how it’s going, how it’s helped your church, and remind them to create a login. If you have established a goal or incentive program, mention those, as well as any prize winners. If you have selected a campaign theme, adapt the messages below to incorporate your theme.

This email is designed to be sent to members quarterly (or as frequently as you see fit). It’s important for members to revisit their My Own Church portal to update any changed information. Also, this will serve as a reminder to those who have not yet logged in.

Reach out to Targeted Groups
You probably have a good number of accurate email addresses for particular groups in your database—like religious ed families and ministry volunteers of every kind. It’s definitely worth your time to send a few email campaigns to encourage My Own Church signups and ongoing use. Be sure to use ParishSOFT’s advanced filter and query tools to get the most current group lists you need directly from your software.

Note: If you are using an email marketing client, feel free to fancy up these campaigns! We recommend including the same My Own Church button you have on your website in your email and linking it to the My Own Church sign-in page. Also, make sure that the reply-to email goes to someone who can answer any questions your parishioners may have.

Current Ministers1

This email is designed to be sent to those who currently serve your church in a ministry capacity, such as lectors, Eucharistic ministers, catechists, etc. Reinforce the content of this email by mentioning My Own Church when meeting with groups of minister/volunteers.

Current Ministers: Stronger Message (e.g., Pastor’s Mandate)1

In some parishes, the pastor has told liturgical ministers that they must use My Own Church to communicate their schedule needs and service preferences with the church staff. It makes sense because your church will get the most accurate schedules, lined up just right with the needs of members, with 100% use of the system. While you may not get a 100% adoption rate, it’s definitely in your best interest to keep the time you spend juggling manual schedules to a minimum.

This email is designed to be sent to members who currently serve your church in a ministry capacity, such as lectors, Eucharistic ministers, catechists, etc. Reinforce the content of this email by mentioning My Own Church when meeting with groups of ministers/volunteers.

And let us know whether your family members should be scheduled together . . . or apart. Just log in and manage your complete ministry experience. The system will automatically take your personal settings into account when we create do the schedules.

New Members

This email is designed to be sent to new members. You’ll want to make sure your records are up-to-date as soon as possible, so send this email to new members immediately after they join your church and you enter their record into your Family Directory. Having accurate records will help your church get to know them and will help them become involved in ministries and activities at your church.

For security reasons, families must have an email addresses recorded in the ParishSOFT database in order for them to request an account under that email address in My Own Church – My Own Church is NOT available to members who do not yet have any records in your database.

Sacramental Prep Candidates

This email is intended to be adapted for families preparing for baptism, reconciliation, first Eucharist, confirmation, or marriage. As members enter these important phases of faith formation, it’s a good idea to ask them, or their families, to review their records and ensure email and phone numbers are up to date. This is also a prime opportunity to check the spelling of names – before they are merged from your database and onto sacramental certificates.

This email is intended to be sent to families with children who will be enrolling in religious education classes. Encourage them to use the Online Registration feature accessed though My Own Church. It’s so easy, they’ll be thanking you, and you’ll be happy to be dealing with much less paperwork.
